Marketing automation

Marketing automation is the use of software to run repeatable marketing tasks and multi step journeys without manual sending, such as email sequences, lead scoring and list segmentation. A marketing automation platform stores contact data, triggers actions based on behaviour and reports on the results. It sits between the CRM and the channels where messages are delivered.

What it is

Marketing automation covers the tools and workflows that execute campaigns based on rules and triggers rather than one off manual effort. Typical capabilities include forms and landing pages, contact segmentation, email and SMS sending, lead scoring, journey builders and reporting. Platforms range from lightweight email tools to enterprise suites tied closely to a CRM.

Why it matters

It lets small teams maintain consistent follow up across large contact bases, which usually improves conversion from enquiry to sale. It creates a behavioural record that feeds attribution, forecasting and personalisation. Poorly governed automation has the opposite effect, sending irrelevant or duplicated messages that damage sender reputation and brand trust.

How it works

Practitioners map the customer journey, define the trigger for each message, then build sequences that branch on behaviour such as opens, page visits or demo requests. Contacts are scored and routed to sales when they pass a threshold, with data flowing back to the CRM so both teams see the same history. Ongoing work is mostly testing subject lines, timing and entry criteria, plus suppression rules that stop overlapping campaigns hitting the same person.

When it applies

It applies once lead or customer volume exceeds what a team can follow up manually, and in any business with a considered purchase, renewal cycle or repeat buying pattern.

  • A B2B firm sends a five email onboarding sequence triggered by a whitepaper download, then alerts sales when a contact visits the pricing page twice.
  • An ecommerce retailer runs an abandoned basket series with a reminder after one hour and a follow up after 24 hours.
  • A membership organisation automates renewal reminders at 60, 30 and 7 days before expiry, suppressing anyone who has already renewed.

How it is measured

  • Conversion rate from automated journey entry to target action
  • Email deliverability, open and click through rates by sequence
  • Marketing qualified leads accepted by sales and the rate at which they progress
  • Unsubscribe and complaint rates per campaign or journey
